Academic Registry

About the department

Academic Registry provides professional services to students and staff across the whole student journey from application to graduation. We aim to ensure students have a high-quality experience of administrative services at each stage of their time with us.

We work closely with the Pro-Vice-Chancellor (Education and Students), the Learning and Teaching Hub and the Evaluation and Policy Department to ensure that there is effective strategic integration between administrative services and the academic student experience.

Academic Registry comprises two main divisions: Registry Services and Quality Services, along with the Doctoral College and the Office of the Academic Registrar, which includes the department’s projects function.

Evaluation and Policy

About the department

The Evaluation and Policy department (EPD) provides data analysis, sector intelligence and evaluation on a wide range of higher education issues to support staff across the institution in delivering the university’s strategic priorities. We work closely with the University Executive Board to support its planning and enable evidence-driven decision making, particularly in relation to learning, teaching and the student experience. The department also delivers strategic projects that seek to enhance the student experience.

Key areas of responsibility include:

  • Institutional surveys, including the National Student Survey and Graduate Outcomes survey
  • Providing data insights and coordinating evidence collation for the Teaching Excellence Framework (TEF) exercises
  • Teaching Excellence and Student Outcomes Framework (TEF)
  • Insight and evaluation to support the development and monitoring of the university’s Access and Participation Plans
  • Data analysis to support equality and diversity at the university, including Advance HE’s Athena Swan and the Race Equality Charters
  • Systematic interpretation and analysis of higher education policy developments to identify risks and opportunities for the university

Finance

About the department

The Finance department supports the university in planning, managing and maximising the value and use of its financial resources, in order to achieve its objectives in a sustainable, controlled and accountable way.

The five divisions of the department provide the following financial support services for the university:

Income and Payments

  • collects tuition fees from students and deals with all other sources of income
  • makes payments to suppliers, as well as reimbursing staff and students for travel expenses, bursaries and other items
  • is responsible for cash management and the university’s investments.

Payroll and Pensions

  • manages the payroll of over 3,000 full and part-time staff
  • oversees staff pension contributions and membership records.

Procurement Services

  • supports and advises on the purchase of supplies and services
  • advises on purchasing procedures and is involved in the negotiation of sector-wide contracts
  • is responsible for university-wide contracts for photocopying, stationery supply and insurance.

Accounting Information Services

  • provides budget support to schools and departments
  • maintains and develops the university’s main accounting system and provides a helpdesk for support and advice to users
  • provides management and financial information to budget managers, senior management, the Board of Governors and funding bodies
  • prepares the annual budget and financial statements of the university and its subsidiary companies
  • undertakes cost analysis complying with Transparent Approach to Costing (TRAC) guidelines
  • manages the tax position of the university and provides VAT advice
  • provides financial support to research contracts and a wide range of other income-generating activity.

About the department

We are responsible for IT Services, Learning Technologies, Media Services and Print Services.

Services we manage include:

  • the IT Service Desk, providing first and second line support via a self-service portal, telephone and email
  • cyber security
  • IT technical support, including areas open access computer rooms, computer teaching rooms and day to day support of staff
  • classroom technologies and access to a range of digital services to support our students’ learning

Internal Audit

About the department

The Internal Audit Service (IAS) is responsible for carrying out an independent appraisal of all the institution’s activities, both financial and otherwise. It provides an independent assurance of the university’s internal control framework to the Governing Body and designated officer (the Vice-Chancellor).

The IAS carries out its work through an annual plan of audits and reviews which are approved by the Audit and Risk Committee. The audit work undertaken is drawn in the main from the areas of high risk as identified in the university’s strategic risk list. Reports which are produced following audits are discussed with managers and viewed by the university’s senior management team, and Audit and Risk Committee.

The IAS has no executive role although it does provide advice on the development of new systems and day to day advice on the development of new practices in order to maintain its overview of the effectiveness of internal control arrangements.

The Director of Internal Audit provides an annual opinion to the Governing Body and designated officer on the adequacy and effectiveness of risk management, control and governance, and VFM and the extent to which it can be relied upon.

The IAS also has a responsibly to detect, prevent and investigate matters of irregularity or fraud and to liaise as necessary with external agencies in those investigations. The IAS provides a police liaison role in certain areas of activity between the university and different branches of the police service.

The IAS maintains a dialogue with the university’s external auditors to ensure there is no duplication of work.

Learning and Teaching Hub

About the department

The Learning and Teaching Hub works strategically with colleagues across the university to embed the education and student experience strategic priorities, focusing particularly on support for academic colleagues in relation to learning and teaching enhancement and innovation. We provide leadership in the following areas:

  • initial and continuing professional development, including: teaching qualifications and recognition, via the Postgraduate Certificate in Academic Practice and the Professional Recognition and Development scheme; support for Course Leaders; guidance for Personal Academic Tutors
  • expert support and pedagogic consultancy to schools, including via the School Learning and Teaching Partners
  • cross-university expertise in strategic areas such as: inclusive practice, digital learning, employability in the curriculum, curriculum enhancement, assessment and feedback, student partnership, peer learning, embedding academic and professional skills in the curriculum.

We also host the annual university Education and Student Experience conference, recognise and support excellence in learning and teaching via a series of awards and scholarships, and conduct research and evaluation into institutional initiatives such as the Inclusive Practice Partners project.

About the department

Marketing and Communications provides professional services to help colleagues and communities to communicate with one another and with our many different audiences. We undertake a wide range of communication, marketing, recruitment and outreach roles across the university, supporting and reinforcing the student and staff experience.

The Occupational Safety and Health Services department is responsible for:

  • preparing and issuing safety policies and codes of practice

People Department

About the department

The People Department is responsible for shaping and enabling sustainable people solutions. We develop policies, procedures and guidance on all aspects of people management to enable and equip our leaders.

The People Department consists of five key teams:

Departmental Management Team

The Chief People Officer is a member of the university’s executive board alongside a number of university committees. The Chief People Officer leads the overall strategy of the department including equality, diversity and inclusion. She is supported by the Deputy Director of People, who deputises for her and drives forward the people priorities for the department. The Deputy Director of People is in turn supported by the senior managers leading our key areas of People Operations, People Partnering, Organisational Change and Leadership and Organisational Development.

People Operations

This area is led by the People Manager (Operations). People Operations consists of three smaller teams which work closely together to support managers and staff in a full range of their day to day activities. These teams are as follows: Recruitment and Orientation, People Support as well as the People Data and Systems team.

People Partnering

This area is responsible for:

Organisational Change

The Organisational Change team works with leaders and teams to guide them through the process of change, ensuring good practice and reducing risks associated with the change process. Organisational change refers to any modifications made to the university’s structure, culture, processes and strategies.

Leadership and Organisational Development

The Leadership and Organisational Development team manage the ongoing development and provision of university-wide leadership and management development activity, including staff induction and professional services events. They have oversight of the staff development review scheme (SDR), employee voice, staff engagement surveys, financial support for studying policy, staff benefits and recognition programmes such as the One 91¶¶Òõ Awards.

Equality and Diversity

The Equality and Diversity team are responsible for institutional equality, diversity and inclusion strategies and policies, project managing work on equality charters and benchmarks, supporting the staff equality networks, and running staff training, events and other awareness and engagement activities on equality, diversity and inclusion.

Philanthropy and Alumni Engagement

About the department

The Philanthropy and Alumni Engagement department is responsible both for initiating and developing ongoing meaningful relationships with alumni (former students) and friends of the 91¶¶Òõ and also for the generation of philanthropic income from a range of external sources to help support the current priorities and future ambitions of the institution.

The collective term 'alumni' is used to describe the constituency of former students of the 91¶¶Òõ, 91¶¶Òõ Polytechnic and its associated colleges. The term 'friends' is used to refer to all other individuals and organisations with an interest in or association with the 91¶¶Òõ.

As part of the department's alumni engagement activities, it manages the alumni association. Via the association, it offers a range of benefits and services to our graduates worldwide and also produces an annual magazine which is sent to all contactable alumni across the world and also to our growing community of friends.

The department acts as a point of contact between former students and the university, helping graduates keep in touch with the university as well as with each other.

The department can provide organisational support for faculties and schools wishing to interact and engage with their alumni. In addition, it is responsible for coordinating fundraising and sponsorship activities across the institution with the objective of increasing the levels of philanthropic income received.

Planning and Performance

About the department

The Planning and Performance Department (PPD) provides information, evidence and benchmarking required to support the University Executive Board’s decision making on institution-wide strategy and planning. The team provides key insights, analysis and advise to enable joined-up academic and business planning, working closely with academic schools and a range of professional service departments. The department has responsibility for the management and delivery of all aspects of the university’s annual academic and professional services planning cycle.

Key areas of responsibility include:

  • Working closely with the University Executive Board on the university’s current and future strategic direction, priorities and deliverables – designing and managing the governance mechanisms through which we will deliver and report on progress, in particular providing assurance and reporting to our Board of Governors.
  • Providing the framework for a continuous planning cycle, ensuring an integrated planning approach enables the strategic development of the university’s size and shape. Through the planning cycle we oversee the development and diversification of our academic portfolio and offer to prospective students and partners.
  • Leading on student number planning and forecasting we work closely with our Finance colleagues on ensuring ongoing financial sustainability, by providing key information and data about our current and future student population and projections. We provide schools and departments with regular reporting and insight on both the current recruitment and admissions cycle, together with analysis and benchmarking of wider sector and competitor developments and trends, utilising key data and evidence from UCAS and HESA.
  • Monitoring and enhancing institutional performance, through the development of Key Performance Indicators (KPIs), aligned to our strategic priorities. In particular, through analysis, reporting and ongoing focus on improving university’s reputation and ranking positions in league tables.
  • Responsibility for Academic Workload Planning – ensuring a university-wide consistent and robust approach is applied to the allocating and recording of academic staff time to ensure strategic aims for education, research, impact and innovation are met. Providing management information to schools to help manage and allocate resources effectively and efficiently, whilst also meeting external reporting requirements.
  • Oversight and co-ordination of statutory data submissions to bodies such as the Office for Students (OfS) and the Higher Education Statistics Agency (HESA), working closely with colleagues in Academic Registry (HESA Student Return), People Department (HESA Staff Return) and the Finance Department (OfS Five-Year Financial Forecasts).
  • Working across the institution on implementing best practice data governance arrangements, identifying and pursuing process improvements that will strengthen the quality, timeliness, and accuracy of the university’s data, helping to improve management information and data management.

Underpinning and helping to deliver on its responsibilities, the Planning and Performance Department takes the lead on the strategic development of Business Intelligence (BI) across the organisation. Working closely with the BI team in Information Services and other stakeholders, we lead on the definition of ‘corporate business intelligence’ for the university and support and manage the delivery of strategic BI applications and tools to enable all colleagues in the university to access accurate and insightful information, data and evidence.

Skills Hub

About the department

The Skills Hub works directly with all students providing support across a range of academic skills such as writing, critical thinking, reading, English language, organisation and time management, and maths and statistics. We also work strategically with colleagues across the university to embed academic skills within the curriculum, focusing particularly on student progression and academic attainment. We also provide coordination of several student-led peer communities such as peer mentoring and, together with the Learning and Teaching Hub, peer learning within the curriculum.

Reporting directly to the Director of Education and Students, we align our strategic priorities with key policies and initiatives including the Access and Participation Plan and other bespoke projects that focus on retention and academic success.

We provide student and staff-facing services via the following areas:

  • Designated Academic Skills Tutors in each school, working with course and module teams to effectively embed academic skills within the curriculum.
  • One-to-one bookable tutorials for students of all levels and abilities.
  • The Writing Advisory Service (WAS) which provides an online formative feedback service on aspects of academic writing (not subject content).
  • An in-person drop-in desk service to discuss questions relating to time management and organisation; as well as a virtual enquiry service using skillshub@brighton.ac.uk.

About the department

Student Operations and Support brings together eight different service and support areas that directly impact on campus and student life, throughout all points of the academic year and student journey, supporting recruitment, retention, progression and success and employability.

The eight divisions are:

  • Student Wellbeing Services

    Our specialist conference and events professionals offer a range of event management and support services to both internal and external clients. They host and organise a diverse range of conference and event activity within our wide range of superb facilities, and support key university events such as graduation, degree shows, summer language school business and welcome activity.

Our expert wellbeing and advice services are dedicated to creating safe spaces for students to raise issues, concerns and general enquiries. These teams cover a range of areas including guidance and counselling support, faith services and student discipline, as well as financial, accommodation and career advice.

We also offer food and sport provisions across all campuses which aim to create great social spaces to enhance life on campus. Our cafes, restaurants and sports centres are available throughout the year to students and staff.

Vice-Chancellor's Office

About the department

The vice-chancellor of the university is also the chief executive of the university, and is responsible to the Board of Governors for all aspects of the management of the institution, and for the leadership of its staff.

The members of the University Executive Board work with a small team of administrative staff, with most members of the administrative team having a particular working relationship with one member of the University Executive Board, under the overall leadership of the office manager.

The senior line management responsibility of the University Executive Board covers both the academic work of the university and the central support departments. Colleagues in the VC’s Office therefore receive enquiries across a wide range of topics.

The department also encompasses the Legal and Governance team – which includes the legal services and information compliance and Sussex Learning Network and University Apprenticeships.
